Our Contract with you
After our initial meeting you will receive a Letter of Engagement which forms the basis of our contract with you for the services we have agreed. This needs to be read in conjunction with our Terms and Conditions of Appointment (specific points are referenced below). We are a professional practice regulated by the Institute of Certified Bookkeepers. This is important because it gives you assurance that our work is carried out to the highest standards. You will need to sign one copy of the Letter of Engagement and return it to us before we can commence work.
Fees and payment terms (5)
Our Fees and payment terms are detailed on Section 5 of our Terms & Conditions of Appointment.
Money Laundering Regulations (8)
It is the policy of this Practice to comply in all respects with the Money Laundering Regulations 2017. We are obliged by law and by the ICB to comply with the duties laid out by the Bribery Act 2010, Fraud Act 2006, Criminal Finances Act 2017, Terrorism Act 2000, Proceeds of Crime Act 2002 and the Money Laundering Terrorist Financing and Transfer of Funds Regulations 2017 as well as other UK Law. We are obliged to carry out a Risk Assessment and verify the identity of the beneficial owners, officers and managers. In addition to the paper document requirements of a utility bill (from either you or your company) of not more than three months old, and a Passport or Driving Licence photo ID we will conduct an electronic check. Our electronic check involves a search of your personal details using software designed to provide a pass or fail result. The most usual reason to fail the check is that you have moved house recently but your paper documents should support this.
Data Protection (9)
The processing of personal data is governed by the General Data Protection Regulations 2017 (GDPR). Any personal data you provide will be processed fairly and lawfully. MMF Solutions will use your personal data for the purpose(s) in relation to which you have provided it. Personal data shall be accurate and, where necessary, kept up to date. Any personal data you provide will be held securely to safeguard against unauthorised or unlawful access. Electronic Communication (9.2)
We do not guarantee that any email sent to us will be received or that the contents will remain private during transmission. If you are concerned about this please consider other means of communication. You are responsible for ensuring any electronic message or information you send to us is free from any virus or defect that may harm our systems in any way.
Provision of Services Regulations 2009 (14)
In accordance with the disclosure requirements of the Provision of Services Regulations 2009, Part 6 Regulation 33 our professional indemnity insurer is Markel International Insurance Company Ltd. The territorial coverage is the United Kingdom of Great Britain and Northern Ireland.
Period of Engagement and Termination (16)
Unless otherwise agreed in our engagement letter, our Period of Engagement and Termination conditions are detailed in Section 16 of our Terms & Conditions of Appointment.
